Purpose
The Cooper-Ackwood Family Archive exists to preserve an accurate and trustworthy record of our family's history.
These standards establish how information is documented, verified, corrected, and preserved so that future generations can understand not only what is known, but also how it is known.
Historical Integrity
The archive shall present family history honestly and responsibly.
Administrators and contributors shall distinguish between verified facts, family memories, personal recollections, traditions, and informed conclusions.
Historical uncertainty should be documented rather than concealed.
Categories of Historical Information
Every significant historical entry should be identified using one of the following categories:
Verified Fact
Information supported by reliable evidence, such as:
- Birth certificates
- Marriage certificates
- Death certificates
- Census records
- Military records
- School records
- Government documents
- Court records
- Family Bibles
- Original letters or journals
- Multiple independent sources confirming the same information
Verified facts represent the highest level of historical confidence.
Family Memory
A personal recollection shared by one or more family members.
Family memories are valuable historical resources even when independent verification is unavailable.
Whenever practical, the individual sharing the memory and the approximate date it was recorded should be documented.
Family Tradition
Stories, sayings, customs, recipes, or beliefs that have been passed from one generation to another.
Family traditions help preserve culture and identity even when they cannot be historically verified.
Unverified Information
Information believed to be true but not yet supported by sufficient evidence.
Such entries should clearly indicate that additional research is needed.
Conflicting Accounts
When credible sources disagree, the archive should preserve the differing accounts whenever appropriate.
Rather than selecting a preferred version without evidence, the archive should explain the disagreement and identify the available sources.
Source Documentation
Whenever practical, historical information should include:
- The original source.
- The contributor.
- The date the information was added.
- Supporting documents when available.
- Notes explaining any uncertainty.
Future generations should be able to understand how historical conclusions were reached.
Corrections
Historical corrections are encouraged when supported by credible evidence.
Corrections should strengthen the archive rather than erase its history.
When appropriate, significant revisions should include an explanation describing why the correction was made.
Photographs and Media
Whenever possible, photographs, recordings, and videos should include:
- Names of the people shown.
- Approximate date.
- Location.
- Occasion or event.
- Contributor or original owner, if known.
Undocumented media should not be discarded simply because complete information is unavailable.
Unknown details should be identified honestly.
Oral Histories
The memories of parents, grandparents, elders, and relatives represent an irreplaceable historical resource.
Whenever possible, oral histories should be preserved in the contributor's own words.
Minor edits for readability are acceptable, provided they do not alter the intended meaning.
Historical Context
The archive should seek to explain historical events within the context of their time.
Information should be presented fairly and respectfully without imposing unnecessary judgment on past generations.
Preservation of Uncertainty
Not every historical question can be answered.
When evidence is incomplete, the archive shall acknowledge uncertainty rather than speculate.
Future generations may discover evidence unavailable to earlier contributors.
